Getting started with basics

In contrast to a content management system, a DAM, such as AdmiralCloud, is primarily used to be able to manage a variety of media clearly and centrally. A CMS, on the other hand, is used to edit and publish content on websites or other forms of media.

Above a certain number of digital media, the administration in a CMS becomes confusing. Increased functionality results from the connection with a DAM, in which the assets can be optimally prepared and organised. For this purpose, the media library of Typo3 was replaced by the more diverse media library AdmiralCloud. 

With the help of the worldwide use of AdmiralCloud, all employees can quickly access, edit, easily share or publish current materials. The global content delivery network behind it ensures that media content is immediately played out worldwide. At the same time, the use of the AdmiralCloud also promotes the network concept of the AHKs and creates synergies by allowing existing media to be used by other AHKs. As a central storage location for all media, multiple purchases and duplicates can be avoided.

With AdmiralCloud, extensive functionalities of a DAM media library are available:

  • Metadata can be individually expanded and changed while working in Typo3.
  • Comfortable selection of the desired media through intuitive user interface: Media are integrated as a link in Typo3, but can also be downloaded to the hard disk
  • Advanced search functions to find the right asset quickly and easily
  • Practical image cropping: certain proportions and resolutions (desktop, mobile, web) can be preset for selection
  • Image editing possible: such as rotate and flip image
  • AdmiralCloud's Smart Cropping Service: ensures that relevant image areas (people, products, etc.) that have been previously set as focal points remain visible after cropping into different formats. This ensures that your images always make the desired statement and are correctly focused in each format.

Upload

Upload media safe and quickly

Easy and fast uploading is essential for the daily work with media. AdmiralCloud converts your image, video, audio and document files into your predefined formats after the upload. These are available to you, your team or other users for further use.

Upload in media batch processing

Media data can be uploaded in batches. Tags, if available, are taken over directly. Metadata and must only be set once for each package.

Reading and processing IPTC data

You can also export IPTC/XMP data created in your image and video editing software directly to AdmiralCloud. Existing IPTC/XMP data is automatically read out and displayed in the uploaded medium.

Licence workflow during upload

You can already link your videos, images and audio files to your licence rights documents during the upload. You can also use batch processing to assign licences to several media afterwards and adjust or update them if necessary.

Notification after uploads

The addressees you specify will receive a notification by e-mail immediately after completion of your upload.

Automatic creation of download links after upload

If you wish, AdmiralCloud will send you a download link by e-mail as soon as the upload is complete. This allows you to view incoming material as quickly as possible.

Tags

Tagging - organising assets effectively

With the help of keywords, it is possible to avoid additional research, multiple purchases and the re-creation of image material. As a form of metadata, keywords, also called tags, are used for targeted search, categorisation and classification of digital media. Tags briefly and concisely capture the content of an image or video.

AdmiralCloud has modern options for using tagging in the most sustainable and user-friendly way possible:

  • The targeted creation, administration and readout of tags can be easily implemented with the help of a clear user interface.
  • The automatic keywording or smart tagging is particularly convenient and immediately places the uploaded media in a larger context. With the support of artificial intelligence (AI), different objects can be recognised and assigned to similar motifs.
  • A speech-to-text function also allows keywords to be extracted from audio and video files.
  • For international use, AdmiralCloud offers the option of storing tags in several languages, such as German, English or Spanish.

In order to be able to access the full performance spectrum of AdmiralCloud, the assets must be keyworded as extensively and specifically as possible. In order to avoid discrepancies due to synonyms or spelling mistakes, a uniform, suitably coordinated vocabulary was defined for the DIHK in advance. This is divided into 6 tag groups in different colours, based on the 5 W-questions: what, when, where, who, which? (the 6th group are special tags, like file types). It is recommended that each asset is assigned at least two tags from different groups.

Search

Well-tagged is quickly found

Digital media are identified in AdmiralCloud using keywords (tags). This enables a multi-layered, intuitive search, which can go far beyond a query of the title or date.

In addition, AdmiralCloud supports complex search depths with the ability to string together multiple search criteria. In addition, the current overview can be filtered by creation or production date, media tags or licences. With the help of the advanced search, you are able to refine your search results by combining different parameters. In addition, AdmiralCloud is designed for multilingualism; i.e. your search will automatically take place in all languages. Search hits in your profile language (UI language) are displayed preferentially.

When converting to AdmiralCloud, all old folders of the Typo3 media directory were assigned to the image as a tag. For example, the image

has the tags "Fotos, Kampagnen, Arbeit and Familie" (photos, campaign, work, family)

One of the unbeatable advantages of AdmiralCloud is that automated processes eliminate the need to modify and assign each asset separately. The entire preparation of digital media is simplified through the use of batch processing. When compiling the assets to be processed in batches, the extensive search and filter options support you. By activating the MultiTool, AdmiralCloud provides you with a variety of batch processing options for the selected media:

Security

For AdmiralCloud's digital asset management, security is paramount. As a one-stop-shop for media management, AdmiralCloud implements extensive measures for our and our assets' protection:

Content Security

All connections within Digital Asset Management use the secure HTTPS protocol. In addition, signed links are used i.e. the respective character string of the generated download and web links do not provide any information about the content of the links, so that no unauthorised person can find your content with the help of a web search.

Security groups

The structure of the AHKs is mapped in AdmiralCloud via security groups. Via the groups, members can be assigned rights & roles. Access to can be optionally denied, restricted or allowed. This way you keep track of which areas or teams in the organisation have access to which media files.

Licence management

AdmiralCloud takes into account different types of licences and supports you in complying with the German Copyright Act (UrhG) as well as in protecting the rights of third parties who are recognisably depicted in images. In doing so, AdmiralCloud offers suitable and efficient workflows in each case, from the allocation of the licence to the linking of your images and videos with rights assignments, model releases or photo stock contracts - an important tool in corporate communication, especially in the area of corporate publishing.

AdmiralCloud Links - A really safe thing to do

For AdmiralCloud's digital asset management, data security is paramount. As a central point of contact for media management, AdmiralCloud implements extensive measures to protect the assets. Among other things, signed links are set by AdmiralCloud, which means that the respective character sequence of the generated download and web links do not allow any conclusions to be drawn about the content of the links. No unauthorised person can find your content with the help of a web search.

Automatic generation of download links after upload

If you wish, AdmiralCloud will send you a download link by e-mail as soon as the upload is complete. This allows you to view incoming material as quickly as possible.

Download link

Media files can be played out to users in previously defined file formats by generating a download link. In the case of video content, the respective download page also contains an integrated web player for direct streaming of the video as standard.

Web link

By generating a web link, your media files can also be made available outside of Media Asset Management.

Replace original

For each media type, the original file can be exchanged. The media container as such remains unchanged, so that all changes and links made remain. The exchange file must be the same media type as the original file (e.g. videos can only be exchanged with videos - an exchange of video with a picture is not possible).

  1. In the media container, the function "Exchange original" can be selected via the left side navigation.
  2. Confirm that you have read and understood the note on original exchange. An upload box appears in which you have the option of selecting a file from your computer using the "Select a file" button or dragging the desired file into the upload box using drag'n'drop. The exchange process starts automatically and you will be contacted by e-mail after completion. 

Note: The preview image of the original file remains. Should you wish to change this, a new preview image must be created or uploaded in the Preview Images section.
